Quick Start: Create Your First Form

Build a form in minutes using our drag-and-drop builder or AI assistant.

Method 1: AI-Powered Form Creation 🤖​

The fastest way to create a form:

  1. Navigate to Forms in the sidebar
  2. Click "Create with AI"
  3. Describe your form in plain English: 
    "Create a vehicle inspection form with sections for 
    exterior, interior, engine, and safety checks"
  4. Click Generate
  5. Review and customize the generated form
  6. Click Save

Method 2: Drag-and-Drop Builder 🏗️​

Build forms manually with full control:

  1. Go to Forms → "Create Form"
  2. Choose "Start from Scratch"
  3. Name your form (e.g., "Daily Inspection")
  4. Drag fields from the left panel:
    • Text Input - Names, descriptions
    • Number - Quantities, measurements
    • Dropdown - Predefined choices
    • Photo - Visual documentation
    • Signature - Digital approvals
    • Location - GPS coordinates

Adding Fields​

  1. Drag a field type to your form
  2. Click the field to configure:
    • Label (what users see)
    • Required/Optional
    • Validation rules
    • Default values
    • Help text

Organizing with Sections​

Group related fields:

  1. Drag a Section element
  2. Name it (e.g., "Vehicle Details")
  3. Drag fields into the section
  4. Sections can be collapsible

Adding Logic​

Make your forms smart with conditional logic:

Show/Hide Fields​

  1. Click a field's Logic icon
  2. Set conditions: 
    Show "Damage Photos" when "Damage Found" equals "Yes"

Required Fields​

Make fields required based on answers:

"Explanation" required when "Issue Found" equals "Yes"

Calculations​

Auto-calculate values:

Total Cost = Parts Cost + Labor Cost

Testing Your Form​

Always test before deploying:

  1. Click Preview in the form builder
  2. Fill out the form as a user would
  3. Test all logic paths
  4. Check mobile preview

Publishing​

Make your form available to users:

  1. Click Publish
  2. Choose who can access:
    • All workspace members
    • Specific roles
    • Public (with link)
  3. Enable features:
    • Offline mode
    • GPS required
    • Photo required

Using Your Form​

On Desktop​

  1. Go to Forms → Fill Out
  2. Select your form
  3. Complete and submit

On Mobile​

  1. Open Clearwell mobile app
  2. Tap Forms
  3. Select and complete
  4. Works offline - syncs when connected
